- Confirm the accuracy and reliability of academic results of students
- Verify Internal and External Examiner Assessment report, Eligibility of Students
- Preparation and Documentation of all assessment reports and put up on file for approval from senior management
- Verification of Mark Sheets, Degree Certificate:
- Ensure correct printing of Marksheets and Degree Certificate
- Verify correctness of academic credentials.
- Verification of Transcript, Provisional Degree Certificate, MOI, and Other Certificates:
- Check and validate various academic documents with students’ academic results.
- Verify certificate formats
- Education Verification of Students:
- Confirm the educational background of students through a verification process.
- Noting and Writing of Completed Tasks and Filing for Approval:
- Document and file completed tasks for senior management approval.
- Preparation of MOD and Payment Order:
- Create MOD and process Payment Orders for departmental needs.
- Coordination with Schools, Students and other Campuses
- Coordinate with various Schools, students and other campuses for departmental activities and administrative support.
- Address and respond to inquiries and concerns from Schools, students and other campuses
- Preparation and Maintain Various Information Database and Office Records:
- Manage databases and records related to educational and administrative information.
- Organize and manage Files and Registers for departmental activities
- Compile & Maintain data for NAAC and ERP
- Exam-Related Activities for University-Affiliated Institutes NACP, NSG etc.:
- Verify Marksheets and Certificate with results
- Convocation Activities:
- Handle tasks related to convocation, including maintain students’ data, degree certificate preparation & verification and other arrangements as per requirements, follow up from schools, other campuses and students
- Coordinate with different convocation committees
- Verification & Approval of Examination Activities:
- Confirm the accuracy and appropriateness of the time table for Regular and Repeat Examination.
- Document and seek approval for Examination timetable, supervisor orders, and seating arrangements.
- Preparation of Supervisor/Assistant Duty:
- Assign and organize duties for exam supervisors and assistants.
- Coordinate with staff members to facilitate the smooth conduct of examination activities, such as supervision and answer sheet assessments.
- Maintain Stock Records of Stationery and Inventory:
- Manage and monitor the inventory of stationery required for examinations.
- Conduct Procedure of Unfair Means (UFM) During Examination:
- Implement and oversee the process for handling cases of unfair means during exams, ensuring integrity and fairness.
- Procedure Regarding Reassessment/Rechecking:
- Manage procedures and protocols for students requesting reassessment or rechecking of their examination results.
- Coordination with Other University Departments
- Coordinate with other department of university (Store, SSAB, Account, Support) for departmental activities
- Supervision, Follow-Up, and Advising Subordinate Staff:
- Oversee and guide subordinate staff in administrative matters.
- Maintain Section Cleaned and Organized:
- Ensure clean and organized work environment.
These responsibilities collectively contribute to the efficient functioning of an Examination section, covering academic verification, record-keeping, coordination, and overall organizational management.
